Given you have subscribed to an enterprise or corporate plan you may invite several users at once by uploading a CSV file. This can also be used to update or delete users. Thus it would be possible to make frequent changes.
You will find the CSV upload in the users-section in the Gear-menue in the upper right area of the screen. The upload area is located under the table listing the current users. You may select the CSV for your Desktop. A sample of a valid file is available for download as well. |
The. structure of the CSV file must comply the following schema:
matchID;Name;Email;Company;Role

The fields do have the following meaning:
matchID | This is an ID you may use to identify your users. We are not using it, but maintaining it. You may leave this field empty, if you do not want to use it. |
Name | Name of the user as it will appear in the application, may contain blanks. |
E-mail-address, the invitation will be send to. | |
Company |
The name of the company/companies the user shall be added to. The name must be equivalent to the name given in the ACCOUNT & BILLING settings for "Company name". PLEASE NOTE: You will need have the admin role for every company you want to add users to! |
Roles |
Assignment of the role the user shall have. This must be one or more - comma separated - of the following values {"","developer","manager", "compliance_manager", "portfolio_manager", "account_admin", "enterprise_admin", "company_security_manager", "company_component_manager"}. See here for a description of the competences aligned with each role. PLEASE NOTE: Leaving the role empty, will delete the user. |
The CSV must comply with the following requirements:
- be smaller than 1MB,
- the first line to contain the field names as shown in above table on the left side,
- different columns must be separated by semicolon,
- empty fields are allowed but number of semicolons must be consistent,
- multiple values within one field, e.g. several roles for one user, are separated by colon,
- the lines must be terminated by paragraph.
After having specified the file, you may try to import it using the blue button below the file picker. This will simulate the import and provide you with the results you may expect while using that file. In the list on the left you may see the result of each individual line, allowing you to verify and/or fix the CSV line by line. Successfully imported users will show the "invited" value when new.
You may then decide to discard the CSV and upload a fixed version instead or continue the processing by pressing the blue button again.
PLEASE NOTE: The system will make sure that at least one account_admin will remain. However, if you switch your role from manager to normal this might effect your capability of continuing your work. So make sure that you do not downgrade yourself using such an upload!
What happens to existing users that are not in the CSV?
They will remain untouched by the import.
What if one line of the CSV has a wrong structure?
You will see this line to be rejected. The rest of the CSV will be imported.
What happens if I miss a users role by accident?
Users without role will be deleted. However, for some compliance purposes users will not really be deleted. Actually they will be deactivated. You may reactivate a user, by uploading his email together with a new role. But please note: A new password will have to be set.
Is it possible to inject users into foreign companies using that feature?
Beware! Don't even think of such a bad behavior! ;-)
No, it is not, if you do not have the administration rights for that company. As of today you must be logged in to the company and acting as account admin to be allowed to import users in that particular company. Users with other company names will be rejected.
What if a user does not receive his invitation email?
You may use the resend invitation functionality. As long as the user has not logged in, the box in front of his name will remain white. After first login it is grey. Pressing the box allows you to resend the invitation. |
