The larger your project portfolio will get the more the need for intelligent filtering will grow. That is why we have introduced tags. Tags are one-word descriptors that you may attach to projects or modules helping to identify them. For example you may want to add a business unit identifier, a solution type or technology identifying tag or even customer specifications. The criteria you want to apply to slice or sort your portfolio may vary. They may even follow different patterns.
It is possible to assign as many tags as you like to either modules or projects. However, there are few things you need to keep in mind when creating tags:
- Tags must consist of an alphanumeric string
- With a minimum length of 2 characters
- They may not contain any special characters but minus (-)
- And they must be made from small letters (capital letters are not allowed)
To improve matching, tags can't be assigned freely. In all places where it is possible to assign tags to e.g. projects or modules, you will receive suggestions from the list of existing tags to select from. Thus there might not be an issue with typographic differences when assigning tags.
Creating & removing tags
To create a tag, you require the role Manager, Compliance Manager or Account Admin. Go to ADMINISTRATION > TEMPLATES and select the TAGS section. There you will see the list of tags already created in your company.
To add further tags, select the "Add tag" button on the upper left side of the content area.
You also may decide to remove a tag. Removing a tag will just eliminate the tags visibility. In other words: It will be possible to restore the tag. By creating a tag you create an ID and a readable name. When you assign a tag to a project or module, the ID is associated with the project/module. removing the name will remove the visibility of that tag, but he ID remains associated. Thus an accidentely removed tag can be restored.
Using tags for filtering
To filter a list for a tag, select the "tag" option on the right side of the filter pane and start typing. TrustSource will suggest you suitable options from the list of existing tags. As soon as you entered the tag, the corresponding list will show only entries that have a corresponding tag assigned.
PLEASE NOTE: The suggestions are taken form the list of existing tags. Thus the result might be an empty lust, if none of the list members own the tag, you have been selecting.
Propagate tags
To simplify the propagation of tags, you may assign a tag at project level and propagate it to all associated modules. Move to > Settings > Tags, enter the new tag and push the button "Propagate to modules".
PLEASE NOTE: Propagation will always push all current tags set in the project and replace all existing tags. Thus propagating tags may eliminate some lower level tags.
